Confluence Seeks Operations Assistant

Confluence is a community-supported nonprofit with the mission to connect people to the history, living cultures and ecology of the Columbia River system through Indigenous voices. We work through six public art landscapes, educational programs and community gatherings in collaboration with northwest Tribes, communities and the celebrated artist Maya Lin.

Confluence seeks an energetic and collaborative Operations Assistant to provide administrative support for fundraising, virtual and in-person programming, board and advisory meetings, and the Confluence Shop. The Operations Assistant is responsible for processing online and mailed donations, maintaining records in the donor database, and assisting with grants management. In addition, this position is responsible for providing tech support for virtual and in-person educational events and programs; recording notes for Confluence Board of Directors and Advisory Community meetings; and processing and shipping orders to the Confluence Shop, including Voices of the River journal, published books and other products.

This position is located at the Confluence office at 1109 East 5th at the Fort Vancouver National Historic Site in Vancouver, Washington. Remote working is expected but many of the tasks need to be done at the office, generally on Tuesdays and Thursdays. Hours are flexible. This is a part-time position for 20 hours per week to be paid $20 per hour. We offer medical benefits through Kaiser Permanente and a 401(k) match.

Job Title: Operations Assistant 

Reports To: Executive Director  

Job Description: The Operations Assistant provides administrative support for fundraising, virtual and in-person programming, board and advisory meetings, and the Confluence Shop. The Operations Assistant is responsible for processing online and mailed in donations, maintaining records in Little Green Light donor database, and assisting with grants management. In addition, this position is responsible for providing tech support for virtual and in-person educational events and programs; recording notes for Confluence Board of Directors and Advisory Community meetings; and processing and shipping Confluence Shop orders, including Voices of the River journal, published books and other products.

Primary Responsibilities: 

  • Process online and mailed gifts in donor database through Little Green Light, generating customized acknowledgement letters in a timely and organized way and assign follow up tasks for Executive Director
  • Coordinate and manage checks, credit card, and electronic deposits with Business Manager
  • Organize and maintain foundation and government grant documentation, schedule grant reports and other tasks related to grants
  • Pull fundraising reports and queries from Little Green Light database as needed
  • Maintain integrity of Little Green Light with accurate input and editing of data, including tracking down missing information and deleting duplicates
  • Contact donors as needed to maintain up to date contact and gift information
  • Provide tech support for virtual workshops, Learning Community meetings, and Field School gatherings through Zoom
  • Work with Digital Content Manager, Program Manager, and Education Manager to coordinate calendar events on WordPress website, including integration with Little Green Light donor database, event sign ups and email communication with constituents
  • Process sales from the Confluence Shop, including Voices of the River journal, published books and other products; export and import reports; generate postage, print address labels and deliver to mail in a timely and organized manner
  • Sit in on meetings of the Confluence Board of Directors and the Confluence Advisory Community to record clear and accurate notes, maintain confidentiality of discussion when necessary
  • Assist in annual Legacy Maker Gathering and other fundraising events as needed

Skills:

  • Experience working in a mission-driven, nonprofit office environment
  • Ability to juggle multiple tasks, be a quick learner, and possess excellent communication, organizational and computer skills
  • Familiarity and experience with any donor database application (not necessarily Little Green Light), Google Calendar/Drive/ Docs/Chat/Meets/Tasks, Zoom, and Microsoft Suite. Job requires specialized computer skills with various applications including Little Green Light, spreadsheet, project management, word processing, presentation, email communication, and scheduling software
  • Excellent organizational and time management skills while being detail oriented
  • Strong work ethic and positive approach to collaborate with a dynamic team
  • Ability to work courteously with the general public, partners and co-workers
  • Ability to maintain accurate records and paperwork
  • Ability to understand and follow oral and written instructions
  • Strong commitment to the Confluence mission to connect people to the history, living cultures and ecology of the Columbia River system through Indigenous voices
  • Ability to utilize cultural humility while lifting up Indigenous voices
  • Knowledge and experience working with Columbia River Tribes a plus
