We’re Hiring: Executive Assistant
Confluence is a community-supported nonprofit with the mission to connect people to the history, living cultures, and ecology of the Columbia River system through Indigenous voices. We work through five public art landscapes, educational programs, and community gatherings in collaboration with Northwest Tribes and Native communities.
We seek a highly organized, proactive, and trusted Executive Assistant to support Confluence’s Executive Director and senior leadership team. This role ensures smooth daily operations, effective board and funder engagement, and the seamless execution of leadership priorities. The Executive Assistant will anticipate needs, manage complex schedules, coordinate meetings and travel, draft and edit correspondence, and track key action items to help leadership focus on advancing Confluence’s mission. Job Title: Executive Assistant
Reports To: Executive Director
Location: Hybrid (Confluence has offices in Vancouver, WA, and Portland, OR); occasional evenings/weekends
Position Type: Full-time, Non-Exempt (40 hours/week)
Hourly Rate: $55,000–$60,000 annually DOE

Key Responsibilities
Executive Support
- Provide high-level administrative support to the Executive Director and senior leadership team.
- Manage complex calendars, schedule meetings, and coordinate travel arrangements.
- Draft, proofread, and edit correspondence, reports, and presentations.
- Track and follow up on action items, ensuring deadlines are met.
- Anticipate leadership needs and proactively manage workflow to enable focus on strategic priorities.
- Maintain confidentiality and exercise discretion in handling sensitive information.
Board & Funder Support
- Coordinate scheduling, logistics, and materials for board meetings, retreats, and special events.
- Prepare meeting agendas, minutes, and briefing materials.
- Support communication and follow-up with board members, advisors, and funders.
- Assist in donor acknowledgments, stewardship activities, and correspondence in partnership with development staff.
Operations & Communication
- Serve as a central point of contact for staff, partners, and external stakeholders reaching the Executive Director.
- Support cross-departmental project coordination, tracking, and organizational workflows.
- Assist with preparation and coordination of reports, proposals, and presentations.
- Support logistics for leadership gatherings, retreats, and special events.
Qualifications & Skills
Required
- Strong organizational, time management, and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency with Google Workspace, Microsoft Office, and Zoom.
- Experience managing calendars, coordinating meetings, and supporting executives.
- Ability to handle confidential information with professionalism and discretion.
- Commitment to equity, inclusion, and Native-led values.
- Problem-solving mindset, adaptability, and ability to thrive in a collaborative, values-driven environment.
- Deep understanding of and commitment to Native cultures, values, and lifeways, especially those of the Columbia River region.
Preferred
- Familiarity with nonprofit operations, governance, and board support.
- Experience supporting senior leadership in a mission-driven or creative organization.
- Comfort working in fast-paced, collaborative, and creative environments.
